Supplies and Support for Printers

This knowledge base article (KBA) provides key information on printer supplies and support. For troubleshooting or repairs, contact the IT Service Desk. Paper orders can be placed through WB Mason, or the Contract Office if you lack an account. Toner is automatically shipped by Offtech New England at 50% capacity, so no manual ordering is needed. Waste toner cartridges, required for most printers, are not auto-shipped—submit a request form and always keep a spare on hand.

Drum Cartridges

  • Drum cartridges are automatically sent by Offtech New England when the end of life for the cartridge is at 20%
  • Since drum cartridges are shipped when the cartridge in your printer or MFP drops below 20%, you may not always have a spare cartridge on hand.
  • Empty drum cartridges can be returned through campus mail to Information & Library Services at 110 Russell St.

Paper

  • If you run out of paper, place a delivery order directly with our preferred vendor, WB Mason.
  • To ensure you're prepared for busy printing periods, we recommend ordering multiple boxes to keep in stock.
  • If you do not have a WB Mason account, contact the Contract Office for assistance.

Printer Repair

  • If your printer or MFP is malfunctioning or broken, please contact the IT Service Desk for assistance (helpdesk@bates.edu | (207) 786-8222).
  • You may request a printer or MFP repair by completing the Report a Problem with a Campus Printer Form.

Printer Support

  • For troubleshooting or support with your printer or MFP, please contact the IT Service Desk for assistance (helpdesk@bates.edu | (207) 786-8222).
  • You may also report a printer or MFP problem by completing the Report a Problem with a Campus Printer Form.

Staples

  • Staples can be ordered directly through Offtech.
  • The cost would be a departmental expense.

Toner

  • Toner is automatically sent by Offtech New England when the toner level in your printer or MFP drops below 50%.
    • You should not need to order toner.
  • Since toner is shipped when the toner level in your printer or MFP drops below 50%, you may not always have a spare toner on hand.
  • Empty toner cartridges can be returned through campus mail to Information & Library Services at 110 Russell St.

Waste Toner

  • A waste toner cartridge is required for all printers and MFPs, except for small black & white print units (models B405, B400, B61).
  • Waste toner cartridges are not sent automatically.
  • When replacing a waste toner kit, fill out the Waste Toner Request Form to request a new one be sent to you.
  • Always keep a spare waste toner kit on hand to avoid disruptions.
  • Empty waste toner cartridges can be returned through campus mail to Information & Library Services at 110 Russell St.
